Privacy Policy

This Privacy Policy describes how Odyssey Coaching Systems (“OCS”, “we”, “us”), operated by Johan Vesters, collects and uses information when you use the OCS web application (the “App”). It applies to clients invited to the App by their coach.

1. What we collect

• Account info: name, email address, and password.
• Profile info you choose to share: date of birth, starting weight, goal weight, medical conditions, medications, and allergies that you or your coach enter.
• Coaching data: daily weights, weekly check-ins (sleep, biofeedback, measurements, progress photos, notes), meal-plan and supplement-plan content, workout logs, messages with your coach.
• Connected services: if you link a third party such as Cronometer, we receive the data you authorize (e.g. daily macros). You can disconnect at any time.
• Technical info: standard server logs (IP address, browser, timestamps) for security and reliability.

2. Why we use it

• To provide the coaching app — show you your plan, check-ins, messages, and progress.
• To let your coach review and update your plan.
• To secure the App and prevent abuse.
• To improve the App based on aggregated usage patterns.

We do not sell your data. We do not show ads.

3. Sub-processors

We use a small set of trusted vendors to run the App:

• Supabase — database, authentication, file storage (data hosted in the EU).
• Vercel — application hosting and CDN.
• Mailgun — transactional emails (invites, password resets).
• Cronometer (optional) — daily macro sync if you connect your account.

4. How long we keep your data

We keep your coaching data for as long as you have an active account with your coach. After your coaching contract ends, we retain the records for up to 12 months in case you return, then we delete or anonymize them. You can request earlier deletion at any time.

5. Your rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. To exercise any of these rights, email johan@odysseycoachingsystems.com. We will respond within 30 days.

6. Cookies and storage

The App uses cookies and similar browser storage only for things that make the App work: keeping you signed in, remembering UI preferences (e.g. weight unit, view mode). We do not use third-party advertising or tracking cookies.

7. Children

The App is for adults aged 18 and older. We do not knowingly collect data from anyone under 18.

8. Security

We protect your data with industry-standard measures: encrypted connections (TLS), encrypted storage at rest, scoped access tokens, and least-privilege database queries. No system is perfectly secure; we will notify affected users without undue delay if a personal data breach occurs.

9. Changes

We may update this Privacy Policy as the App evolves. The current effective date is shown at the top of this page. Material changes will be communicated through the App or by email.
